Here is an overview of the workflow of invoices, payments and statements in SleekTech.


Invoices from owners to tenants.


Invoices issued to tenants by their property owner.

  • Rent invoices - All automatically created rent invoices belong to this group.
  • Other tenant charges - You can also create these invoices manually on the lease window under Non Rent Invoices. Examples might be, charge for damaged item, parking fee etc.
  • Which owner is used - Any invoice you will create here will automatically be issued by the current owner of the property for this lease.
    • If you change ownership of a property, all invoices created thereafter will be issued by the new owner.
    • When checking the account history of the lease, all invoices raised prior to the change of ownership, will be under the first owner, and later ones, under the second owner.
  • Showing on statements - Payments for any of those invoices show as credit on the landlord account and will appear on the next statement.
    • Invoices to tenants will never show on the owner statement as credit so long they haven't been paid.
    • Once a payment has been made for all or part of an invoice, the paid part will show on the next 


Invoices from manager to tenants.


Invoices issued to tenants by the management company.

  • Manager invoices - As the property manager, you might sometimes want to charge the tenant. Examples would be late payment fee, admin fee etc.
    • You can create those from the lease page under Manager Invoice.
    • The invoice will then be issued by the current property manager to the tenant, and allocated to the property of the current lease.
  • Showing on statements - These will never show on the owner account, and wont show up on owner statements.
    • Payments for any of these invoices will show as credit on the manger account and will appear on the next manager statement.



Tenant payments.


Tenant payments are incoming payments from tenants and can cover either of the above invoice types.

  • Payment covering one or many invoices - A tenant payment can cover more than one invoice. You can distribute the total payment amount amongst one or more outstanding invoices.
    • A tenant payment can only be applied to invoices of one lease. If an incoming payment is covering invoices for multiple tenants you should create a batch payment.
  • Unapplied payments - You can also leave part or all of a payment open. The payment will then remain unapplied on the tenant account until you decide what you want settle it for.
    • Unapplied payments will not show on landlord statement. Once you apply the payment it will show up on the next statement.
  • Showing on statements - Tenant payments covering owner invoices to tenants will show on the next owner statement.
    • Once included in a statement, you can no longer amend the payment or the invoices covered by the payment, as they have already been reported to the owner.
  • Partially unapplied payments -Payments that are partially applied, will show on owner statements, but will only credit the amount already applied.
    • Once the statement is created you can no longer change the payment as above, but you can still apply the remaining amount, which will then show in the next statement.


Invoices from suppliers to owners


These are invoice charged from external suppliers to one of your owners.

  • Supplier invoices - As a property manager you will usually be responsible for for approving and payment of invoices sent to you on behalf of the owners you manage for.
    • Examples are, repairs and maintenance costs, mortgage payments, amongst many others.
  • Property vs general company invoices - You can allocate any invoice wither to a specific property, or to your owner's company in general.
    • Examples might be accounting fee, bank charge etc.
  • Showing on statements - By default, as soon as an invoices as bee recorded it will show as a debit on the next owner statement.
    • Once an invoice is included in a statement, you can no longer amend it.
    • You can choose under settings to only include fully paid invoices in owners statements.
    • This will prevent any unpaid invoices from going into statements. However, once a paid invoice is included in a statement, it is still possible to delete the payment, which will render the invoice outstanding. The invoice will remain as a debit in the statement regardless.
    • Because its the invoices that are part of owner statements, only the actual invoices will get locked for amending. Payments applied to those invoices can always be amended or deleted.
    • (In contrast, buy tenants its the actual payments that go into the statements and therefore once included, neither the payment, nor the invoice it covers can be amended)


Invoices from manager to owners


Invoices raised by the manager to one of the owners

  • Manager invoices - As a property manager you sometimes might want to charge one of your owners for various services.
    • Examples might be letting fee, one off management fees etc.
    • Regular management fees are automatically incurred based on your settings, whenever you collect rent from tenants. These do no have to be recorded separately as manager invoices.
  • Showing on statements - Invoices from manager to owners will show up on owner statements exactly the same as invoices for externals suppliers.
    • Once included in owner statements they will be locked the same as above.


Invoices from suppliers to manager


Invoices from external suppliers billed directly to the property manager instead of the property owner.
