Sending the Information Sheet to Existing Tenants

Overview


From 1 May 2026, the Renters' Rights Act 2026 requires landlords and agents to provide all tenants with the official government information sheet.

This requirement applies to existing residential tenancies only — where you currently have an AST (Assured Shorthold Tenancy). 


Deadline for Existing Tenancies

For all tenancies that started before 01/05/2026, the information sheet must be sent to tenants by 31/05/2026.


To support this, SleekTech has introduced new tools and workflows to help you efficiently send the information sheet and keep track of compliance.


Important Responsibility Notice

SleekTech has provided:

  • A default email template
  • A structured sending process
  • Tracking and logging tools

However, it is your responsibility to ensure that:

  • The wording of the email meets your requirements
  • The correct document is attached
  • Every relevant tenant is included
  • Tenant contact details (especially email addresses) are accurate

SleekTech is here to enable and support compliance, but responsibility for correct delivery remains with your organisation.


Sending the Information Sheet to All Tenants


To ensure compliance, it is critical that the email is sent to every tenant listed on each lease.


We have introduced a dedicated window to make this process simple and controlled.


Step-by-Step Instructions

  1. Navigate to Leases
  2. Open View Tenant Contacts
  3. Apply the following filters:
  • Lease Start Date → before 01/05/2026
  • Tenancy Type → Residential only (exclude Commercial, Company Lets, etc.)
  • Contact Type → Tenants only (exclude guarantors and other contacts)


Important additional step:
You can also filter for Email Address is blank:

  • If email is missing, you should:
    • Obtain the correct email address, or
    • Send the information sheet by post.

  1. Select all filtered records
  2. Click Email
  3. From the template dropdown, select:
    “Renters’ Rights Act 2026 – Information Sheet”

Preview Before Sending

Before sending:

  • Click into 1–2 records to preview
  • Confirm:
    • Email content looks correct
    • Attachment is included and correct


If changes are required:

  • Close the window
  • Re-select the template
  • Click Edit Template
  • Adjust subject, body, or attachments as needed

Send Emails

Once satisfied:

  • Select all records
  • Click Email → Start

Emails will be sent in the background via your Outlook account, ensuring they appear in your Sent Items as proof of delivery.


Proof of Sending & Audit Trail

After sending:

  • Open any tenant contact
  • On the right panel, you will see a system log entry showing:
    • Date and time sent
    • Email subject


The email body and attachment are not stored in SleekTech, as they are already stored in your Outlook Sent Items, which serves as your primary evidence.


Optional: Enhanced Tracking & Evidence Management


If your company requires stronger audit trails (e.g. saving proof per tenant or signed confirmation), SleekTech provides an optional workflow.


Step 1 – Create a Document Type

  1. Go to Control Panel
  2. Open Contact Document Type List
  3. Add new document type:
    “Sent Renters’ Rights Act 2026 – Information Sheet”
  4. Save and close

Step 2 – Assign Document Requirement

  1. Return to View Tenant Contacts
  2. Apply the same filters as above
  3. Select all relevant tenants
  4. From dropdown, choose Add Documents
  5. Select the document type created above
  6. Confirm

SleekTech will now track that these tenants require this document.


Step 3 – Track Progress via Dashboard

  1. Go to Dashboard
  2. Navigate to Group: Onboarding Tenants
  3. Open Tenant Documents

You will now see all tenants missing the document:

  • Click into the list
  • Open individual contacts
  • Upload proof (e.g. Outlook sent email, signed document, or internal evidence)

Once uploaded:

  • The document will no longer show as missing
  • You can track completion across all tenants

Important Notes

  • This process ensures structured tracking, but the level of evidence required may vary depending on your company policy
  • Some agencies may rely on Outlook Sent Items only
  • Others may require per-tenant evidence or acknowledgements
  • SleekTech supports both approaches.


It is strongly recommended that you define a clear internal policy on how you verify that each tenant’s email address is correct.
If you cannot confidently confirm the email address, you should send the information sheet by post instead.


Final Thoughts

This requirement is new, and there is still uncertainty around how strictly it will be enforced.
